Data controller

What data we process, why, and on what legal basis

a) Access to the equipment selector

To access the selector, we ask for an email address and for a checkbox to be accepted. We process that email address, the date and time consent was given, the exact text and version of the checkbox accepted, and the language in which it was shown. We keep this record so that we can prove exactly what each person accepted.

Purpose: to give access to the tool and to allow a technician from Juan Azcue, S.A. to contact the person to refine the proposal.

Legal basis: the person’s consent, which may be withdrawn at any time.

This data is not used to send marketing communications.

b) Quotation requests from the selector

After choosing a unit, the selector asks whether the person wishes to receive a quotation. If the answer is “No”, nothing is sent. If the answer is “Yes”, the email used to access the selector, the type of quotation requested and the technical data of the selection (model, stages, frequency, flange, duty point and, if completed, the general project data) are sent to the sales department of Juan Azcue, S.A., and the request is recorded on the contact’s file.

Purpose: to prepare and send the requested quotation.

Legal basis: steps taken at the request of the data subject prior to entering into a contract.

c) Installation pre-analysis

When a person requests a pre-analysis, we process their contact details (name, email and, if provided, telephone number, company and comments), the technical data of their installation that they choose to provide, including the identification of the well (reference, municipality and date of measurement), and the record of their consent (date and time, text, version and language of the checkbox).

Purpose: to prepare a pre-analysis of the installation with the help of VITTA IA and to contact the person to present the resulting proposal.

Legal basis: the person’s consent and steps taken at their request prior to entering into a contract.

The pre-analysis is reviewed by a technician: no decisions are made based solely on automated processing. The data provided is not used to train or improve VITTA IA models.

d) Contact form

When a person writes through the contact form, we process their name, email address, subject (if given) and the content of the message, together with the date and time and the record of the privacy checkbox accepted.

Purpose: to handle and reply to the enquiry.

Legal basis: the person’s consent and steps taken at their request prior to entering into a contract.

This data is not used to send marketing communications.

e) Customer private area

For customer companies, we process the identification and contact data needed to provide the service (company name, tax ID, address, town, province, telephone, contact person, login email and the Juan Azcue branch that serves them) and the data of their installations (location, equipment and photograph of the equipment’s nameplate). The private area gives them access to the documents relating to their business relationship (data sheets, manuals, invoices, installation reports and, for each maintenance job, quotations, repair reports and commissioning reports), and records the data correction requests they send.

Purpose: to manage the business relationship and provide access to that documentation.

Legal basis: performance of the contract and compliance with the associated legal obligations.

f) Authorised staff

For Juan Azcue, S.A. staff with access to the private area, we process their name, email address and permissions.

Purpose: to manage access and to record who performs each action on customer accounts and documents.

Legal basis: the employment relationship and the legitimate interest in the security and traceability of the system.

g) Server logs

The server keeps a technical record of the requests it receives: IP address, date and time, page requested and browser type. In the private area, logins and actions performed are also recorded.

Purpose: to keep the service running, prevent misuse and investigate security incidents.

Legal basis: the legitimate interest of Juan Azcue, S.A. in the security of its systems.

How long we keep the data

After these periods, the data is erased or blocked, and is kept only while liabilities may arise from its processing.

Who we share the data with

We do not transfer personal data to third parties. Only the providers we need to deliver the service have access to it, acting as data processors under contract:

  • Piensa Solutions, server hosting, in a data centre located in Spain.
  • Strato AG, email service, with servers in Germany.

Data may also be disclosed to public authorities and to courts where there is a legal obligation to do so.

No international transfers of data outside the European Economic Area take place.

Your rights

You may ask for confirmation of whether we process data concerning you and exercise your rights of access, rectification, erasure, objection, restriction of processing and portability, and withdraw any consent given at any time, without affecting the lawfulness of processing carried out before its withdrawal.

To exercise them, write to privacidad@juanazcue.com or by post to Juan Azcue, S.A., Avda. Alicante, 215, 30007 Murcia (Spain), marked “Protección de datos”. To process your request, we may ask for additional information to confirm your identity. We will reply within one month.

You may also lodge a complaint with the Spanish Data Protection Agency (www.aepd.es), particularly if you feel you have not obtained satisfaction in exercising your rights.

Security

Juan Azcue, S.A. applies technical and organisational measures to protect the data: communications with the website are encrypted, access to the private area requires personal credentials, passwords are stored encrypted, sessions expire automatically, each customer can only access their own documents and access revocations take effect immediately.
